Custom CRM Development for Teams Who Have Outgrown the Spreadsheet

Off-the-shelf CRMs are built for a generic sales team. When your process looks different — a quote that needs a site visit, a job that passes through five crews, a renewal that depends on an inspection — people end up working around the CRM instead of in it.

A custom CRM models your process exactly: the stages you actually use, the fields you actually need, and the follow-ups that actually happen. Nothing more, which is also what makes people use it.

This is for you if

  • ✓Your sales process lives in spreadsheets, inboxes and someone's memory
  • ✓You pay for a big CRM per seat and use a fraction of it
  • ✓Your process has steps no off-the-shelf CRM models well — site visits, quotes, approvals, renewals
  • ✓You need the CRM to work with software you already run

This is probably not for you if

  • ✕A standard sales pipeline is all you need — HubSpot, Pipedrive or Zoho set up properly will be cheaper, and we will tell you so

We would rather tell you now than take the project and disappoint you.

Worth knowing: Most failed CRM projects are adoption failures, not software failures. If entering a lead takes longer than the old spreadsheet did, people go back to the spreadsheet. We design the three or four screens your team touches every day first and make them faster than what they replace; reporting comes after.

What you get

Your pipeline, your stages

Deals, jobs or cases moving through the stages your business uses, with the fields each stage needs and nothing else.

Contacts and history

Every call, email, note and quote against the customer, so whoever picks up the phone knows the story.

Follow-ups that happen

Tasks and reminders created automatically when a deal moves or goes quiet, so leads stop dying in an inbox.

Email, phone and forms connected

Website forms creating leads, email threads logged against contacts, and call logging through Twilio or your phone system where it allows.

Roles and permissions

Salespeople see their own pipeline, managers see everyone's, and nobody exports the whole customer list by accident.

Import and reporting

Your spreadsheets and old CRM data cleaned and imported, plus the handful of reports you actually look at.

Build a CRM or configure one?

Setting up HubSpot, Pipedrive or Zoho is usually cheaper at the start. Building your own makes sense when at least one of these is true:

  • Per-seat pricing has stopped making sense — Twenty people on a mid-tier plan at $50–$150 a seat each month can cost more every year than building your own.
  • Your process is the product — Field service, recruitment, property and insurance businesses run on workflows a sales CRM was never designed for.
  • Customer records belong with your other data — Contacts should live in the same system as your jobs, invoices or bookings, not in a separate tool joined by fragile syncs.
  • You need to own the data model — For compliance, for a future buyer, or because the CRM is becoming part of what you sell.

If none of these apply, we will say so and help you set up the off-the-shelf option properly instead. That is often a two-week job rather than a three-month one.

What we build it with

Deliberately mainstream choices. You should be able to hand this to any competent developer later without them needing to learn something exotic first.

How it works

1

Map the process

We sit with whoever does the selling and write down what actually happens, which is rarely what the org chart says.

2

Fixed quote

Priced per phase. Phase one is the daily screens; reporting and automation follow once people are using it.

3

Build with your team

A staging version from early on, tested by the people who will use it, not only the person who bought it.

4

Migrate and switch over

Old data cleaned and imported, a short training session, and a date when the spreadsheet is retired.

Questions

How much does custom CRM development cost?

Most custom CRMs cost $8,000–$25,000, depending on how many workflows, integrations and roles are involved. You get a fixed quote per phase. Afterwards you pay for hosting, usually $20–$100 a month, instead of per-seat licences.

How long does it take to build a CRM?

Six to twelve weeks for a first version your team can work in every day. Reporting, automation and extra integrations are often a second phase, once you have seen how people actually use it.

Can you move our data from HubSpot, Salesforce or spreadsheets?

Yes. Exports from most CRMs and spreadsheets are cleaned, de-duplicated and mapped to the new structure, with a dry run you can check before anything goes live.

Is a custom CRM secure?

It is as secure as it is built to be. We use an established sign-in provider, permissions checked on the server for every request, encrypted backups, and an audit log of who changed what. We would rather show you how access works than ask you to trust it.

Can it work with our email and phone system?

Usually. Gmail and Microsoft 365 both have APIs for logging email, and Twilio and many phone systems can log calls against a contact. We check what your provider supports before quoting.
